Best practices: Using events to drive engagement

Events are one of the most effective ways to attract new visitors, give regulars a reason to return, and build community at your range. TRMS makes it simple to create, manage, and promote events, but the real value comes from how you use the feature.

This guide shares best practices for getting the most out of Events. For step-by-step instructions, see [Creating events in TRMS] and [Managing events in TRMS].

Plan for different audiences

Events work best when they appeal to more than one type of player. Consider creating multiple categories within the same event:

  • Juniors – build skills and attract families.
  • Ladies – social competitions that can become recurring meet-ups.
  • Seniors – slower pace formats with extended assignment times.

Each category automatically generates its own leaderboard, so every participant sees results that feel relevant to them.

Make rules clear and motivating

Players enjoy knowing what they’re competing for and how the game will be played. Use the Description and Game rules fields in the event setup to:

  • Explain the format (e.g., “Closest to Pin – 3 attempts per player”).
  • Clarify how ties will be handled.
  • Highlight any special prizes you’re offering.

Clear communication builds trust and makes players more likely to register.

Promote early and often

A well-designed event is only successful if people know about it. Combine multiple channels to get the word out:

  • Use the auto-generated posters in TRMS to create signage at your range or post on your social media.
  • Add event content to your Displays so everyone sees upcoming competitions when they arrive. See [Adding content to displays article].

When publishing the event in the Toptracer Range app, players can discover it, register, and track progress right from their phones.

Create excitement during the event

While the event is running, keep energy high:

  • Show the live leaderboards on displays around the range.
  • Use the Participants page in TRMS to track sign-ups and encourage last-minute registrations if spots remain.
  • Have staff on hand to answer questions and celebrate great shots.

These small touches help the event feel bigger and more professional.

Follow up with results

Don’t let the excitement fade once the event ends. Use the Results page in TRMS to:

  • Announce winners and distribute prizes promptly.
  • Share highlights on social media and in email newsletters.
  • Thank participants and invite them back for the next competition.

This builds a cycle of engagement where each event becomes a stepping stone to the next.

Keep experimenting

Events don’t have to be limited to traditional competitions. Try different formats:

  • Monthly challenges – a low-stakes way to keep people coming back.
  • Charity events – partner with local organizations to reach new audiences.
  • Seasonal tournaments – tie in with holidays or big golf moments.
  • Beat the Pro – have the resident pro (or a staff member) play one of the game modes, then challenge players to outperform their score. This creates a fun benchmark and gives golfers bragging rights if they succeed.

By experimenting, you’ll learn what resonates most with your players and community.

👉 Well-run events are not just about competition — they’re about creating memorable experiences that keep players coming back. With TRMS tools, you can make every event professional, engaging, and easy to manage.
