Managing events in TRMS
Once you’ve created an event, you can view, edit, and publish it from the Events calendar in TRMS. This article explains the basics of managing events. For creating new events, see [Creating events].
Events calendar
The Events page includes a calendar showing all of your events — ongoing, upcoming, and finished. You can switch between month, week, and day views, browse with the arrows, or return to today with the Today button.
- Light blue = event created but not published
- Dark blue = published event
Clicking on an event opens its overview page.
Event overview
The overview page shows all the details of your event, including:
- Event name
- Start and end time
- Host name and co-host (if added)
- Prizes
- Description and any rules
- Sponsors
- Categories and leaderboards
From here, you can also:
- Edit event details (with restrictions after publishing)
- Publish the event to the Toptracer Range app
- Delete the event or end it early
Publishing
When you’re ready to share the event with players, you need to publish it:
- Open the event from the calendar.
- On the Overview page, click Publish.
- Set a participant limit (optional).
- Once published, the event will:
- Be visible in the Toptracer Range app
- Appear on the bay monitors
- Open for players to register
Only players who register in the app will appear on the event leaderboard and results. Players who play the same game mode without registering will not be included.
Editing events
You can freely edit an event up until it is published. After publishing, editing rights depend on the event status:
- Upcoming – some details can still be changed (like description or prizes).
- Ongoing – only limited details can be adjusted.
- Finished – results are locked; no further edits are allowed.
Removing events
What you can do with an event depends on its status:
- Unpublished – The event has been created but not published. You can delete it at any time.
- Published, upcoming – The event is published but has not yet started. You must unpublish it first, then you can delete it.
- Published, ongoing – The event is currently running (between its start and end time). You can end the event early, which moves it into a finished state.
- Published, finished – The event has passed its end time. You must unpublish it first, then you can delete it.
Note: Deleting an event is permanent and cannot be undone.
Marketing
Promoting your event is key to making it successful. TRMS generates posters you can use in print or post on social media. For additional materials, see the [Marketing Toolkit].
Participants
The Participants page updates in real time as players register through the Toptracer Range app. Here you can see:
- Number of registered players
- Demographic insights such as gender, age, and skill level
- Email addresses to facilitate contacting any winners
You can also refresh the list manually to confirm you have the latest data.
Results
Once the event ends, the Results page shows detailed performance data, including:
- Scores
- Rankings
- Contact info
This helps you track the success of your event and share results with participants.
